This policy explains what personal information Field Trip collects, why, who we share it with, and your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who is responsible
FIELDTRIP (Pty) Ltd, registration number 2026/206336/07, trading as Field Trip Sports Travel, is the responsible party. Office: 38 Bath Avenue, Rosebank, Johannesburg, 2196. Our Information Officer is Gregg Abell, contactable at info@field-trip.co.za.
2. What we collect
- Contact details: name, email, phone number and where you are based.
- Trip details: the events, dates, hotels and group size you ask about or book.
- Traveller details: names as they appear on passports or ID, needed to issue tickets and hotel bookings.
- Payment records: amounts, dates and references. Card details are handled by Payfast and never reach us.
- Website use: pages visited and how you arrived, collected through analytics and advertising cookies only if you accept them.
3. Why we use it
- To quote, book and look after your trip, and to contact you about it.
- To meet our tax, accounting and legal obligations.
- To tell you about events you have asked about. You can opt out of marketing at any time by replying "unsubscribe" or emailing us.
- To understand how visitors use the site, if you have accepted analytics cookies.
4. Who we share it with
We share your information only with those who need it to deliver your booking or run the site: the hotel, the ticket supplier where tickets are included, Payfast for card payments, and our website host and form provider. If you accept cookies, Google and Meta receive website usage data. We never sell your information.
Some of these suppliers are outside South Africa, for example a hotel in Dublin or a ticket supplier in the UK. We send them only what the booking needs, and only to suppliers bound by data protection law or contract terms that give you comparable protection.
5. Cookies
Analytics and advertising cookies (Google and Meta) are set only after you click Accept on the cookie banner. You can change your choice at any time with the Cookie settings link at the bottom of every page.
6. How long we keep it
Booking records are kept for as long as tax and accounting law requires. Enquiry details that did not become a booking are deleted after two years.
7. Security
We use access-controlled accounts and encrypted connections, and limit access to the people who need it to handle your booking. If we become aware of a breach that affects you, we will tell you and the Information Regulator as POPIA requires.
8. Your rights
You can ask to see what we hold about you, correct it, delete it, or object to how we use it, by emailing info@field-trip.co.za. We respond within 30 days. If you are unhappy with how we handled your information, you can complain to the Information Regulator at inforegulator.org.za.
